Business Portal

The Business Portal is a secure, web-based platform where you can access key information about your business. It allows you to get business insights, track sales, review transactions, view settlement reports, manage user access, and update business details.

Accessing the Business Portal

To use the Business Portal, you need an internet connection and a web browser. The portal can be accessed from a computer, tablet, or smartphone.

To log in:

If you are not sure which email address is associated with your Teya account, try searching your inbox for any welcome emails from Teya. That should help you identify the registered email address.

Setting up and managing your account

When you first sign up with Teya, you should create login credentials. Use those to access the portal.

If you have forgotten your password:

  1. Go to the login page
  2. Click Forgot password?
  3. Enter your email address
  4. Check your inbox for the reset email

If you don't see the email:

  • Check your spam or junk folder
  • Confirm you entered the correct email
  • If the problem continues, contact our support team via chat.

Invite team members and manage access

The Business Portal allows you to invite additional users to access your business information. Each user will have their own login credentials and can be assigned different permission levels based on their responsibilities.

To add a new user:

  1. Log in to the Business Portal
  2. Locate the Settings section
  3. Select the Team and permission tab
  4. Click on the + Add Member button.
  5. Enter the user's email and assign a role.​

After the invitation is sent, the user will receive an email prompting them to create their own login and access the business account. As the account owner, you can also return to this section to update user roles or remove access as needed.

Managing multiple businesses

If you operate more than one business or store location under your Teya account, you can manage each one from within the portal. When you log in, you will see a business selector on the left-hand side of the home screen.

To switch between businesses:

  • Click the business name currently displayed.
  • Select the business you want to manage from the list.

Exploring the Business Portal

Sales Overview

The Sales Overview section provides a daily summary of your business performance, including:

  • The number of transactions processed
  • Total sales
  • Tips received
  • Any refunds issued

If you operate multiple stores, you can alternate between them to get a clearer and consolidated view of your business performance. Additionally, you can compare data across time and view breakdowns by card schemes, helping you track trends and monitor activity.

Transactions

In the Transactions section, you can view all payments processed through your card machines, Teya Tap or Pay By Link. Each transaction includes status, currency, device, and source information.

You can use filters to search by:

  • Date range
  • Transaction status
  • Amount
  • Device
  • Card’s last 4 digits

To download a record of your transactions:

  1. Click the Export button on the right side of the screen.
  2. Choose your preferred file format (CSV or XLSX).
  3. Confirm, and the download will begin.

Settlement Reports

Under the Settlements tab, you can view key details for each settlement, including:

  • Settlement date
  • Sales amount
  • Applicable fees
  • Total balance
  • Settlement status

If you manage several stores, you can filter for the specific one you need. By clicking on a particular settlement, you will access a detailed list of the transactions it includes.

How to Download a Settlement Report

To download a settlement for reconciliation:

  1. In the menu on the left side of the screen, go to Settlements.
  2. Select the specific settlement you want to download.
  3. Click the Download button located in the top-right corner of the page.

Adjusting settings and business details

Within the Settings section of the portal, you can update important business and account information.

Here is what you will find:

  • Company Information: View legal business details and the linked bank account for payouts.
  • Team and Permissions: Add or remove users and assign access levels.
  • Invoices: Access all billing documents for your business.
  • Direct Debit: Set up or manage your Direct Debit instructions.
  • Stores: Manage details related to specific locations, such as settlement frequency and chargeback notifications.

Each of these settings is editable based on your user role and access level.

Troubleshooting Logging Issues

Why can't I log in to the Business Portal?

  • Double-check that you are using the correct email address associated with your Teya account.
  • If you're unsure which one is registered, look for past Teya emails to identify it.
  • Use the "Forgot Password?" link to reset your credentials.

I didn't receive the reset link.

  • Check your spam or junk folders
  • Some email providers may filter system-generated emails
  • Contact support if the problem continues

In some cases, trying a different browser or clearing your cookies can resolve access issues. You can also try logging in using a private/incognito window.
