Set up and accept Pay by Link payments

Pay by Link allows you to accept payments from customers who are not present by sending them a secure payment link or QR code. Your customer pays online using their card or a supported digital wallet (such as Apple Pay or Google Wallet), and the funds are settled to your account like any other transaction.

Before you start

Eligibility

Pay by Link is available to most members once your account verification (KYC — Know Your Customer) is complete. If you do not see Pay by Link on your Card Machine, in the Teya App, or in the Business Portal, contact Teya support so the feature can be checked and enabled for your account if eligible.

Fees and Settlements

  • Cost: There are no extra costs for using Pay by Link. You pay the standard transaction fees agreed in your plan.
  • Settlements: Payments are processed like standard card sales. The funds appear in your Settlement reports and are transferred to your bank account according to your settlement cycle.

Create a Payment Link

Card Machine
  1. Enter the amount on the screen.

  2. Tap Select method at the bottom of the screen, next to Charge.

  3. Select Payment link.

  4. Tap Charge.

OR

  1. Tap the menu icon in the top left-hand corner of the screen.
  2. Select Pay by Link.
  3. Tap the plus icon in the top right-hand corner.
  4. Follow the steps on screen.

You can then choose:

  • Amount: The amount to pay.

  • Reference: An optional note or label.

  • Sharing channel: Send the link by email or SMS.

  • Message language: The language your customer will receive.

  • Expiration: Choose when the link expires, or select Never.

  • Reusable link: Choose whether the link can be used more than once.

When you're ready, tap Create link.

Teya App

Use the Teya App to send a payment link from your phone when you are away from your card machine.

  1. Open the Teya App and go to the Home or Sales tab.
  2. Tap Sell at the top of the Home screen, or tap the + icon in the top right of the Sales tab.
  3. Choose a quick amount or enter the payment amount, then confirm the total with your customer.
  4. Select Pay by Link and tap Charge.

Optional: Add a reference

Add a short note, such as an order or booking reference. For example, Order #1025.

This reference will appear in the Teya App, Business Portal, and exported reports, so it is easier to match the payment later.

  1. Choose how you want to share the link: QR code, email, or SMS.
  2. Choose whether you want to reuse the link.
  3. Set the expiry time by choosing how long the link should stay active.

Advanced options

You can choose to ask for:

  • a shipping address
  • a phone number
  • an email address

Turn on the options you want, then tap Apply.

  1. Tap Create link.

Your payment link is now ready. Send it by SMS or email, or copy it into your preferred messaging app, such as WhatsApp.

Business Portal

Use the Business Portal from your computer, ideal for back‑office or admin teams.

  1. Open the Business Portal and log in with your credentials.
  2. Go to the Pay by Link section in the left-hand menu.

  3. Tap Sell at the top of the Home screen, or tap the + icon in the top right of the Sales tab.
  4. Enter payment details

    Add the amount and your customer’s email or phone number.

  5. (Optional) Add a description

    Add a short note like an order or booking reference (for example, “Order #1025”). This appears in the Teya App, Business Portal, and in exported reports, making it easier to match payments later.

  6. Define basket items

    Add simple basket/line items so customers see exactly what they are paying for on checkout and on receipts.

  7. Set expiry

    Choose how long the link should stay active.

  8. Send or copy the link

    Send the link by SMS, email, or copy it into your preferred messaging app (e.g. WhatsApp).

More options in the Business Portal

When you create and manage Pay by Link payments in the Business Portal, you also have access to additional options:

  • Flexible expiry: choose a longer or custom expiry date, or create links with no expiry for long‑running single‑use payments.
  • Manage existing links: extend or shorten the expiry, cancel links sent in error, or reactivate suitable expired links that were never successfully paid.
  • Collect extra customer details: request contact and address information so you can see these details in the Portal and App alongside the payment.
  • Choose link language: override the default language for specific customers so the message and checkout appear in their preferred language (where supported).
  • Delivery options: send links by email or SMS from Teya, copy the link to send via your own channels (for example, email templates, invoices, or WhatsApp), or generate a QR code that customers can scan.
  • Payment notifications: turn on email notifications per store so you receive an email each time a Pay by Link payment is completed.

 

Note: When you create a payment link, you will always be asked to choose when it should expire. You can set it to Never, 24 hours, 1 hourm a custom date or never. If you need to update it later, you can change the expiry on your Card Machine, in the Teya App or in the Portal.

A payment link can be set up as either single-use or multi-use.

Single-use links

Single-use is the default link type on your Account. It is designed to process exactly one successful Payment. Once the customer pays, the link closes and cannot accept any further transactions.

When to use:

  • Paying a specific invoice or outstanding balance.
  • Taking a Payment for a phone order or call-in booking.
  • Sending a secure request to an individual customer over SMS, email, or chat.

Multi-use links

Multi-use links are designed for repeated transactions. The link can accept multiple successful Payments from different customers and remains active until it expires.

When to use:

  • Sharing a Payment link on social media or in a bio.
  • Collecting repeat Payments for the same product or service.
  • Promoting a standard offer through email, flyers, or printed materials using a QR code.
  • Enabling multiple customers to pay through the same link without creating a new one each time.

Important: Multi-use links are currently only available to create via the Portal and App. You cannot create multi-use links using your Card Machine.

What your customer experiences

  • Your customer receives a secure payment link by SMS, email, or another channel you choose (including QR code where used).
  • When they open the link, they are taken to Teya’s hosted checkout.
  • They complete the payment using their card or a supported digital wallet.
  • Once payment is completed, the transaction appears in your Teya App, Business Portal, and reports like any other card sale.
