Building and managing your menu

This guide explains how to build and organise your catalogue from scratch using the catalogue editor. It is designed to help you add items, group them into categories, use the AI assistant for bulk edits, and set up favourites for faster selling.

Setting up your menu during Activation

If you chose to build your catalogue manually during your setup, you can add items, categories, and modifiers one by one before you start selling.

To add a new item:

  1. Tap Add item.
  2. Enter the required details:
    • Name: The name shown on your Card Machine and receipts.
    • Price: The standard price for the item.
    • Category: Choose an existing category or create a new one.
    • VAT rate: Usually 20%, 5%, or 0% in the UK.
  3. Add optional details like Modifiers and Variants if needed.
  4. Tap Save.
  5. Repeat these steps for each item. Once finished, tap Finish setup to access the selling screen.

Managing your catalogue

Once your catalogue is set up, you can manage your items, categories, and prices at any time.

To add or edit items:

  1. Tap the gear icon (Settings) on the Catalogue home screen.
  2. Tap Manage items.
  3. Tap the + icon to create a new item, category, or modifier, or tap an existing item to edit its details.
  4. Update fields such as the name, price, category, VAT rate, variants, or modifiers.
  5. Tap Save when finished.

Important: To delete an item permanently, open the item and tap Delete. Deleted items cannot be recovered, but they will still appear in past reports.

Organising items into categories

Categories group related items together, making them easier to find when you are selling. Every item must belong to a category.

To create a category:

  1. Go to Settings and tap Manage items.
  2. Tap the + icon and select Add category.
  3. Name your category and pick a colour to make it easy to spot on the selling screen.
  4. Tap Save.

To reorder categories:

  1. Go to Manage items, then select Categories.
  2. Drag the categories into the order you want them to appear on your Card Machine or app.

Marking items as favourites

Favourites are a shortlist of your most-sold items, pinned to a dedicated tab at the top of the selling screen. This gives cashiers one-tap access to your most popular products when they start a new sale.

To add or remove a favourite:

  1. Go to Settings and tap Manage items.
  2. Open the item you want to update.
  3. Tap the heart icon to add it to your favourites. To remove it, tap the heart icon again.
  4. Tap Save.

Keep your favourites list short. Pinning around 10 to 15 items works best, as adding too many requires cashiers to scroll and removes the speed advantage. Remember to update your favourites when your menu changes seasonally.

Syncing across devices

Your edits to the catalogue, prices, and settings are shared across your Card Machine, the Teya App on every device, and the Business Portal.

If a device does not automatically pick up a recent change:

  1. Open your Catalogue.
  2. Tap the sync button (the two spinning arrows) to pull the latest updates.
  3. If a change still is not showing after a sync, check that the device is online and reload it.
