Role permissions

This guide explains what each team role can do when using the till and catalogue. You can use it to decide who should be able to sell, manage products, apply discounts, process refunds, and view reports.

Permissions are grouped by task so the table is easy to scan. Super Admin, Admin and Manager have the same access. If a task shows PIN for Terminal, the action is available only after a manager enters their PIN. Each permission is explained in full below the table.

What each permission covers

  • Catalogue management — Create, edit and delete items, categories, modifiers and variants; set prices; reorder items; mark favourites; AI catalogue creation from PDF, CSV or photo; AI bulk editing; read the catalogue.
  • VAT configuration — Set VAT on items; AI VAT auto-allocation; configure dining and order types; configure VAT rules.
  • Selling (checkout) — Add items to an order; edit quantities; add modifiers; search for items; select the order type at checkout; process a payment; pair the till with a Card Machine; read the catalogue.
  • Discounts — Apply order-level discounts as a percentage or fixed amount.
  • Refunds — Refund a past sale in full or in part, through the standard Teya transaction flow.
  • Reporting — View daily, weekly and monthly sales totals; item performance; sales by VAT; export reports and transaction data as CSV.
  • POS access — Open the selling screen on a device.

Key things to remember

  • Catalogue, VAT, discounts, and refunds are available only to Manager and above. This helps prevent front-line staff from changing prices or applying discounts during service.
  • Cashiers and Terminal mode can only sell. They cannot open the catalogue editor, change prices, or run reports.
  • Accountants can view all reports and export CSV files, but they cannot take a sale or make changes to the catalogue.
