Managing your team's access helps keep your business running smoothly while protecting sensitive actions. This guide explains how to set up team roles, use Terminal mode on your Card Machine, and approve actions with a Manager PIN.
Understanding team roles
The role you assign to a team member changes the first screen they see when they sign in. Unauthorised features are completely hidden rather than greyed out.
- Super Admin, Admin, and Manager: Full access to the catalogue, sales, reports, and settings.
- Cashier: Lands directly on the selling screen. The catalogue editor and reports are not visible.
- Accountant: Lands on reports and transaction history. The selling screen and catalogue editor are not visible.
- Terminal mode: Lands on the selling screen, functioning similarly to a Cashier. However, a PIN prompt appears whenever a restricted action is tapped.
How Terminal mode works
Terminal mode turns your Card Machine into a shared till, which is highly recommended for busy hospitality settings. It works for basic selling immediately, but sensitive actions, such as giving a discount, issuing a refund, editing the catalogue, or viewing a report, are blocked until an authorised user approves them.
How to approve an action in Terminal mode:
- A user taps an action that requires higher permission.
- The Card Machine prompts for a manager PIN.
- A Manager or Admin enters their unique PIN.
- The action goes through, and the device returns to Terminal mode for the next sale.
Every Manager and Admin has their own unique PIN. This allows you to easily check your reports to see exactly who authorised a specific discount or refund.
Device sign-ins and reporting
Currently, each Card Machine is signed in as a single user or runs in Terminal mode. There is no option to switch users per sale.
Because of this, please keep the following in mind:
- If multiple staff members share one signed-in device, all sales will show up in your reports under the same user.
- If you choose not to use Terminal mode, you can sign in as a Cashier. However, a Manager will need to sign in personally to approve overrides.
- Multi-user switching on a single device is on our roadmap. Once released, you will be able to tag sales per cashier and filter your reports accordingly.
