Manage team members and permissions

Use the Teya App or Business Portal to add your team, assign roles, and control what each person can see and do. This helps you delegate day-to-day tasks while keeping sensitive information protected.

There are five roles: Super Admin, Admin, Manager, Employee, and Accountant. Each one unlocks a different level of access, from full account control down to in-person selling only.

Access levels explained

Super Admin

The Super Admin is the legal representative of the business and has full control over the account. This is the only role that can perform the most sensitive actions.

Can Cannot
  • Access all areas of the system and view all data (sales, settlements, Business Account, cards, devices, etc.).
  • Grant or remove access for any user, and assign custom roles.
  • Take card and cash payments, and browse and manage the product catalogue.
  • Create and manage online stores, and configure webhooks and connected apps.
  • Issue refunds, view and download reports, export data, and update reporting preferences.
  • Manage company and store information, bank accounts, terminals, settlement frequency, and Teya pricing.
  • Set up Tap to Pay.
  • Manage the Business Account, including:
    • Viewing account activity, balance, and upcoming settlements
    • Making cash deposits
    • Requesting and approving transfers and bill payments
    • Adding, editing, and removing payees and recipients
    • Setting up accounting integrations
    • Scheduling transfers and standing orders, and managing direct debits
  • View and manage all cards, including card limits.
  • View credit offers and active credit, and apply for credit (MCA & Flexi Loan).
  • Add another Super Admin without completing KYC (Know Your Customer) verification.
Admin

Admins help manage operations across one or more companies.

Can Cannot
  • Access all areas of the system and view all data (sales, reports, settlements, Business Account info, etc.).
  • Grant or remove access across multiple companies, and invite team members.
  • Take card and cash payments, and browse and manage the product catalogue.
  • Manage payment links.
  • Issue refunds, view and download reports, export data, and update reporting preferences.
  • Manage company and store information, terminals, and settlement frequency.
  • View bank account details.
  • Manage the Business Account, including:
    • Viewing account activity, balance, and upcoming settlements
    • Making cash deposits
    • Requesting and approving transfers and bill payments
    • Setting up accounting integrations
    • Scheduling transfers and standing orders, and managing direct debits
  • Add payees and recipients (the first payment to a new payee must be requested).
  • View and manage all cards, including card limits.
  • View credit offers and active credit.
  • Edit or remove the Super Admin, or remove other Admins.
  • Create or manage online stores.
  • Manage Teya pricing.
  • Assign custom roles.
  • Edit bank details.
  • Apply for credit (MCA & Flexi Loan).
  • Set up Tap to Pay.
Manager

Managers run store and team operations within their company. They can take payments, handle sales, and manage their team, and they can request money movements but not approve them.

Can Cannot
  • Take card and cash payments, and browse and manage the product catalogue.
  • Activate terminals and use Poslink.
  • Manage payment links.
  • View transactions, chargebacks, and payment links.
  • Issue refunds.
  • View the sales overview, reports, and export data.
  • View existing team members and invite team members.
  • View and manage cards issued to them (freeze, cancel, view PIN, activate), including their own card limits.
  • View Business Account transactions they personally initiated, and download proof of payment for those.
  • For the Business Account:
    • Make cash deposits
    • Request transfers and bill payments
  • View Teya products and plans.
  • Update reporting preferences.
  • Manage company or store information, bank accounts, settlement frequency, or Teya pricing.
  • Assign custom roles.
  • View the Business Account activity feed, balance, or upcoming settlement.
  • Set up accounting integrations.
  • Approve transfers or bill payments.
  • View or manage cards other than those issued to them.
  • View or apply for credit.
Employee

Employees use Teya tools for in-person and remote sales.

Can Cannot
  • Accept card payments (Teya Tap, Pay By Link, and card machines).
  • Accept cash payments.
  • Browse the product catalogue.
  • View basic company and store details.
  • View transactions and payment links, and manage payment links.
  • View and manage cards issued to them.
  • View Business Account transactions they personally initiated.
  • Land directly on the Sell page when they log in.
  • Be assigned to multiple companies.
  • Manage the product catalogue.
  • Configure webhooks or connected apps.
  • Issue refunds.
  • View chargebacks.
  • View the sales overview, aggregate data, settlements, reports, or export data.
  • Access Products & plan, company, store, or pricing settings.
  • Access Team and Permissions.
  • View Business Account balance, activity, cash deposits, transfers, or banking screens (beyond their own transactions).
  • View or manage other cards or credit.
Accountant

Accountants support financial oversight and reporting across selected companies. The role is built around financial visibility and back-office money management.

Can Cannot
  • Be assigned to multiple companies (set by a Super Admin or Admin).
  • View cards.
  • View company data, the sales overview, reports, and export data.
  • Land on a reporting and financial overview page.
  • View transactions, chargebacks, and payment links.
  • View Teya products and plans.
  • For the Business Account:
    • View account activity, balance, and transaction list
    • Access statements and transaction exports for bookkeeping
    • Set up accounting integrations
    • Request transfers and bill payments
  • Access Team and Permissions.
  • Accept card or cash payments (no Teya Tap, Pay By Link, or card machines).
  • Browse or manage the product catalogue.
  • Manage payment links.
  • Issue refunds.
  • Update reporting preferences.
  • Manage company or store information, bank accounts, terminals, settlement frequency, or pricing.
  • Make cash deposits.
  • Approve transfers or bill payments.
  • View credit offers or active credit, or apply for credit.

Some features and actions may require approval from the Super Admin.

Managing your team

Add a new member

Use this flow in either the Teya App or Business Portal to invite someone and assign their role.

On the Teya App

  1. Open the Teya App and tap your business name at the top of the screen to open the Side Menu.
  2. Go to Settings.
  3. Tap Team and permissions.
  4. Tap + Add member in the top right corner and enter their name and email address.
  5. Tap Continue.
  6. Choose a role and review the permissions for each section. If you're happy with the role and permissions, tap Continue. If not, go back and choose a different role.
  7. The person you invited will receive an email to finish setting up their account and create their Teya ID.

On the Business Portal

  1. Open the Business Portal and log in with your credentials.
  2. In the left sidebar, select Team and permissions.
  3. Click + Add member and fill in the required fields (name, email, and role).
  4. Tap Send invite.
  5. The invited person will receive an email to complete their sign-up and create their Teya ID.

Remove a team member

On the Teya App

  1. Open the Teya App and tap your business name at the top of the screen to open the Side Menu.
  2. Go to Settings.
  3. Tap Team and permissions.
  4. Find the team member you want to remove and tap their name.
  5. Tap Remove member.

On the Business Portal

  1. Open the Business Portal and log in with your credentials.
  2. In the left sidebar, select Team and permissions.
  3. Find the member you want to remove in the list.
  4. Click the three dots next to their name.
  5. Select Remove to revoke their access.
