Keep track of your business performance with the catalogue reports available in the Business Portal and Teya App. This guide explains how to view your sales data, find your best-selling items, and easily prepare your VAT returns.
Understanding your reports
You have access to three main reports to help you manage your daily operations and accounting:
- Sales by item: Shows the number of units sold, VAT, gross revenue, and net revenue for each item.
- VAT report (Sales by VAT): Breaks down your sales by VAT rate (such as 20%, 5%, 0%), showing net revenue and VAT due. This is exactly what you and your accountant need for VAT returns.
- Sales report: Shows your takings broken down by payment method, including card, Contactless, cash, and other sub-types. This is highly useful for end-of-day reconciliation.
How to view your Sales by item report
The Sales by item report shows you exactly what is selling. Sorting this report helps you identify your top sellers so you can keep them well-stocked, as well as your underperformers that you may want to reposition or remove.
To view your item sales:
- Go to Sales in the Business Portal or the Teya App.
- Select your desired date range (today, yesterday, this week, this month, or a custom range).
- Select the specific store from the filter if you run multiple locations.
- Open Sales by item.
- Sort the list by units sold or revenue to see your best and worst sellers.
How to export your VAT report
When it is time to complete your VAT returns, you can easily export your figures for your accountant.
To export your VAT figures:
- Go to Sales, then select Sales by VAT.
- Select the period you want to view (typically a VAT quarter).
- Review your total sales, net revenue, and VAT due at each rate.
- Export the report as a CSV file to share with your accountant.
Choosing between the Business Portal and Teya App
You can access your reports on both mobile and desktop, depending on what you need to achieve:
- Teya App: Shows your data condensed for a phone or tablet screen, keeping the most-used reports up front. This is best for a quick daily check.
- Business Portal: Gives you the full reporting view on a larger screen. It includes bigger date ranges, side-by-side comparisons, and the ability to export files. This is best for your monthly reviews.
Updating prices and historic reporting
You can change your prices and VAT rates freely without worrying about distorting your past figures.
A new price or VAT rate only applies to a Payment made after you make the change. Any transactions that are already completed will keep the price and VAT rate that were recorded at the time. A report generated for last month will not change when you update a price today.
Using the AI assistant
If you want a quick overview without opening a report, you can ask the AI assistant for a summary.
Simply tap the Teya AI button in the Teya App or Business Portal. The assistant can pull numbers directly from your reports to answer questions like "How much did I sell yesterday?" or "What is my VAT total this month?".
