Set up your Card Machine

Your Teya Card Machine is designed to make taking payments simple, fast, and reliable. This guide will help you unbox, charge, and set up your new Card Machine so you can start accepting payments with confidence.

Unbox and power on

Follow these steps to turn on your device and begin the setup process.

  1. Take the Card Machine and accessories out of the box.
  2. Connect the Card Machine to power if the battery is low (check the leaflet in the box for model-specific charging ports).
  3. Press and hold the power button until the screen lights up and you view the Welcome screen.
  4. Verify that your store name and address are correct on the screen.
  5. Tap Get started.
  6. Choose your preferred display language from the list and tap Continue.

Important: If the store name or address is incorrect, tap Help, then Don’t recognise this business? and Log out. You can then follow the alternative activation steps at the bottom of this page.

Connecting to Wi-Fi and securing your device

Your Card Machine requires a secure internet connection to complete the setup. Wi-Fi is recommended for speed and stability.

  1. Wait for the Wi-Fi screen to load and display nearby networks.
  2. Select your store's secure Wi-Fi network from the list.
  3. Enter your Wi-Fi password and tap Connect.
  4. Wait for the screen to display "Connected ✓".
  5. Create a 4-digit Manager PIN when prompted. This PIN protects sensitive actions on your Card Machine.
  6. Enter the 4 digits again to confirm your PIN.

Once your PIN is confirmed, a welcome screen appears to confirm your Card Machine is ready to take payments.

Customising your settings

After completing the set up, the Card Machine automatically checks for software updates and downloads your Account configuration.

  1. Wait for the automatic update check to complete. If an update is available, it will install automatically.
  2. Tap Continue when the screen shows "Device is up to date".
  3. Review the Quick Settings modal and tap Got it.
  4. Adjust your Quick Settings as needed:
  • Card Machine name: The default name is "Counter Top Terminal". Tap Edit to change it.
  • Additional schemes: This is on by default and accepts AMEX, Discover, and Diners cards. Different fees may apply.
  • Merchant receipt: This is off by default. Turn it on to print a merchant copy after every Payment automatically. You can also print a daily receipt from the Sales Insights menu later.
  • Tips: Turn tipping on or off. You can also set default tip percentages and customise how the tipping option appears during a sale.
  • Quick amounts: Save preset values to your main screen to process common payments faster.
  • Split Bill: Allow customers to split a single bill, either by dividing the total evenly or by specifying custom amounts for each person.
  • Dynamic Currency Conversion (DCC): Allow international customers the option to pay in their home currency.
  • Payment reference: Add a short label to each payment. This reference will appear on receipts and in your payment history.

You can switch features on/off at any time:

  1. Open the Menu.
  2. Select Payment settings.
  3. Choose any of the options to enable or disable a specific feature.

 

Something went wrong during the setup?

If the steps above do not work, you can use an alternative method to activate your terminal. You can choose from the two options below:

Option A: Activate via Teya App (Recommended)

Use this method if you have the Teya mobile app installed.

  1. Open the Teya App.
  2. Navigate to ExplorePayment devicesActivate the terminal(s).
  3. Look for a QR code displayed on the Card Machine screen.
  4. Scan the QR code on the Card Machine using your phone.
  5. Follow the prompts on both screens to confirm.

Option B: Activate via web browser

Use this method if you are using a computer or do not have the app.

  1. Select Remote login on the Card Machine screen.
  2. Note the verification code displayed.
  3. Go to id.teya.com/verify on your computer or mobile browser.
  4. Log in to your Teya Business Account.
  5. Enter the verification code from the Card Machine and click confirm.

Step 4: Select your store

Once the account is linked, the Card Machine will display the stores associated with your business.

  1. Review the list of stores on the screen.
  2. Select the specific store location where this Card Machine will be used.

Step 5: Create your Manager PIN

The Manager PIN secures sensitive actions, such as processing a Refund or changing settings.

  1. Enter a 4‑digit Manager PIN when prompted.
  2. Re-enter the PIN to confirm.
  3. Share this PIN only with trusted staff members.
Is this machine a replacement?

Use this guide when you’re replacing an existing Card Machine with a new one (for example, if the old device is faulty or being upgraded).

Step 1 – Select the Card Machine to swap

  • Turn on the new Card Machine.
  • If you have multiple stores, choose the correct store (name and address).
  • On the Select card machine screen:
    • Use the search bar if needed.
    • Check the list of Card Machines, including names and serial numbers.
    • Tap the Card Machine you want to replace.

Step 2 – Confirm the swap

  • A confirmation screen shows the terminal name and serial number.
  • Check the message:
    • The new Card Machine will take over after setup.
    • The old terminal will stop taking payments.
    • All past transactions stay safe in the Teya app.
  • Tap Swap now to continue, or Go back if you chose the wrong device.

Step 3 – Set the Manager PIN and finish

  • On the Protect your card machine with a Manager PIN screen, read how the PIN works.
  • Always protected by PIN:
    • Refunds on past payments
    • Payment settings
  • Optional protection (off by default):
    • Sales overview
    • Transaction history on this device
  • Turn on any optional toggles you want.
  • Tap Set a Manager PIN, then enter and confirm your four-digit code.

Once the PIN is confirmed and setup finishes, the new Card Machine is active for payments and the old terminal is deactivated.
