Updating Account details

Keeping your business details accurate ensures your compliance checks, tax documents, and Settlements remain correct. If your business undergoes changes, such as a new trading name, address, or legal structure, you must update your Teya Account immediately to avoid disruption.

Choose the change you need to make below.

Update your email address and phone number

Follow these steps to change your details:

  1. Open the Teya App and tap your business name at the top of the screen to open the side menu.
  2. Go to Settings.
  3. Tap the banner with your name.
  4. Select either Email address or Phone number.
  5. Tap Edit.
  6. Enter your new email address or new phone number.
  7. Enter the verification code sent to your new contact detail to confirm the change.

You will then receive an SMS and email confirmation. This message includes an option to cancel the change if you made a mistake.

Important rules and timelines

  • Processing time: Allow up to 4 hours for the change to take effect across your Account.
  • Security limits: Once you change either your email address or your phone number, you cannot change the other detail for 24 hours.
  • Teya Business Account users: If you have a Teya Business Account, some features may be temporarily restricted for security checks while your details are updated.
Update trading details (store name or address)

Follow this process if you change your "Trading As" name (visible on receipts and terminals) or if your shop moves to a new location.

Required information

To update these details, send the following to Teya Support:

Online presence

A link to your business website or an active online advertisement.

Invoices or bills

A business utility bill, a statement from a previous provider, or a supplier invoice addressed to the business or owner. An invoice you issued to a customer is also acceptable.

Note

If your store name appears on your Card Machine, we will provide instructions on how to refresh the device to display the new name once the update is complete.

Add a VAT number

If you recently registered for VAT or need to change your existing details, you can update this information directly with us. Contact Team Teya to request a change to your VAT Number.

When you get in touch, ensure you:

  • Share your newly registered VAT Number clearly in your message.
  • Keep your business details handy in case our team needs to verify your account.
Legal entity and company name changes

These changes affect your contract and compliance status. The process depends on your business structure.

UK Limited Company name change

If your UK Limited Company changes its registered name but keeps the same Companies House registration number:

  1. Ensure the new name is visible on Companies House.
  2. Contact Support with your Company Registration Number, old name, and new name.
  3. Confirm you are trading the same products and services.

Important

If your trading activity has changed significantly, we may review your account before processing the update.

Creating a new Limited Company

If you incorporate a brand-new Limited Company (with a new Companies House registration number) rather than renaming an existing one, we cannot simply rename your Teya Account.

  • This requires a new account.
  • Our team will help you submit a new application for approval for the new company.
  • You can reach out to your sales agent or Contact Support.

Sole Trader updates

Sole trader accounts are legally tied to the individual.

  • Name or address change: Contact Support with your new trading name or address. We may request Proof of Business documents (see the "Update trading details" topic above).
  • Changing structure (Sole Trader to Limited Company): For compliance reasons, we must create a new account for you. Contact your sales agent or Support team for assistance.
Ownership and director changes

Limited Company (new director)

The account holder must be a registered director.

  1. Update Companies House to list the new director.
  2. Contact Support to update the account holder details.

Selling a business (sole trader)

Sole trader accounts cannot be transferred to a new person. For compliance reasons, we must create a new account for the new owner. Contact your sales agent or Support team for assistance.

Update your personal home address

This applies to Directors and Sole Traders for identity verification. You must provide a valid proof of address dated within the last 3 months.

Accepted documents:

  • Driving licence (front and back).
  • Utility bill.
  • Bank statement.
  • Council or tax letter.
Open a new store

If you open a second location or new branch, contact your sales agent or Support team for assistance.
